The Institute of Presence respects your privacy. This policy explains what personal data we process through this website, why we process it, who may receive it and the choices available to you.

1. Who is responsible for your data?

The Institute of Presence website is currently operated by Benedikt Jankowitsch, Athens, Greece. For the purposes of applicable data-protection law, Benedikt Jankowitsch is the data controller for personal data processed through this website. 2. Personal data we collect

Information you provide. When you use our enquiry form or email us, we may receive your name, work email address, organisation, programme interest and any information included in your message.

Technical and server data. When you visit the website, our hosting, website and security systems may process IP addresses, browser and device information, referring pages, requested pages, timestamps, request details and security signals needed to deliver and protect the website.

Cookie and consent information. CookieYes records your consent choices and may store a consent identifier and related technical information so that the website can remember and demonstrate those choices.

3. Purposes and legal bases

• To respond to enquiries and take steps you request before a possible engagement, based on steps taken before entering into a contract.
• To operate, maintain, secure and improve the website, prevent spam, fraud and abuse, and communicate with prospective clients, based on our legitimate interests.
• To meet legal, accounting or regulatory requirements, based on compliance with legal obligations.
• To use optional cookies or similar technologies where applicable, based on your consent.

4. Contact forms and email enquiries

The contact form is provided through WordPress and Spectra. We use the information you submit only to respond to your enquiry, understand your organisation’s needs, arrange conversations and, where relevant, prepare a proposal. We do not use an enquiry to subscribe you automatically to marketing communications, and we do not sell or rent personal data.

Please do not include sensitive personal data, confidential employee information or health information in the enquiry form unless it is necessary and we have agreed that it should be provided.

5. Hosting, WordPress, security and email

The website is hosted by Hostinger and runs on WordPress. Hostinger and the website software may process technical and server-log data to deliver the site, maintain performance, identify problems and prevent misuse.

Wordfence provides website security and may process IP addresses, request details and security logs. Contact-form notifications and related messages are delivered through MailerSend using WP Mail SMTP.

6. Cookies, CookieYes and external website services

CookieYes manages the cookie-consent interface and remembers your choices. Strictly necessary cookies may operate without consent where permitted by law. Optional cookies or scripts will be used only after consent where required. You can review, change or withdraw your choices at any time through Cookie Settings. The contact form uses Google reCAPTCHA v3 to distinguish legitimate enquiries from automated abuse. It evaluates technical and interaction signals and may set the _GRECAPTCHA cookie for risk analysis. We use reCAPTCHA for website and form security.

The site currently requests typefaces from Google Fonts. When your browser requests a font, Google receives technical information such as your IP address and browser request. We did not identify active analytics or advertising trackers during the September 2026 review.

7. Service providers, recipients and international transfers

We share personal data only where needed to operate the website, communicate with you or meet legal obligations. Relevant recipients may include Hostinger, CookieYes, Wordfence, MailerSend, Google in connection with reCAPTCHA and Google Fonts, professional advisers and public authorities where disclosure is necessary or legally required.

Some providers may process data outside the European Economic Area. Where required, transfers are covered by recognised safeguards such as an adequacy decision, contractual protections or the European Commission’s Standard Contractual Clauses. We do not use enquiry information for automated decision-making that produces legal or similarly significant effects.

8. How long we keep data

We keep enquiry information only as long as needed to respond, manage a possible or active business relationship and meet legal obligations. If no engagement develops, we normally delete or anonymise enquiry information within 24 months of the last meaningful contact. Contractual, accounting or legal records may be kept longer where required. Server, security and consent records are retained only for the relevant operational, security, evidential or legal period.

9. Your data-protection rights

Depending on the circumstances, you may have the right to request access, correction, deletion, restriction or portability of your personal data, and to object to processing based on legitimate interests. Where processing is based on consent, you may withdraw that consent at any time.

To exercise a right, email hello@theinstituteofpresence.com. You also have the right to lodge a complaint with the Hellenic Data Protection Authority or another competent supervisory authority.

10. Security

We use reasonable technical and organisational measures to protect personal data against unauthorised access, loss, misuse, alteration or disclosure. No internet transmission or storage system can be guaranteed to be completely secure.
